CBSE SCHOOL LEADERSHIP GUIDE · 2026–27

17 practical CBSE compliance checks. One clearer way to review them.

For CBSE-affiliated schools, a useful readiness review starts with the school website, Mandatory Public Disclosure documents, staff information, infrastructure details and supporting records. These 17 checks combine items from CBSE’s revised Appendix IX issued with Circular 01/2026 and sensible administrative follow-ups; they are not an official CBSE list of “17 mandatory requirements”. Check current circulars and the requirements applicable to your school.

01

What does the January 2026 CBSE circular change?

CBSE Circular 01/2026 provides a revised Appendix IX Mandatory Public Disclosure format, including detailed teacher information. Schools should review their current website disclosures against that format rather than relying on an older template.

Start with the official Circular 01/2026 and revised Appendix IX. The format is grouped into general information, documents, results and academics, teaching staff, and infrastructure. This article is an independent working checklist, not a replacement for the circular or affiliation conditions.

Assign one person to check each entry against the underlying record, another to check the published website, and the principal or authorized manager to review discrepancies. A document appearing on the website does not by itself establish that it is current, genuine or legally sufficient.

02

Part 1: Is your school website and Mandatory Public Disclosure page ready?

The first five checks concern a functioning school website, accurate identity information, applicable registration documents, safety certificates and an organized Mandatory Public Disclosure page.

1. Maintain a functional school website

CBSE’s Affiliation Bye-Laws describe the requirement for an affiliated school website with vital school information. Check that pages and documents actually open; mobile usability and an easy update process are practical improvements, not separately asserted Appendix IX obligations.

2. Publish accurate school and affiliation information

Verify the school name, affiliation number and school code where applicable, complete address with PIN code, principal’s name and qualification, official email and contact numbers.

3. Review affiliation and registration documents

Check applicable affiliation, upgradation and extension letters; society, trust or company registration or renewal documents; NOC where applicable; and recognition under the RTE Act and renewal where applicable.

4. Verify safety, health and water documents

Review valid building and fire safety certificates, applicable DEO certificate or self-certification, drinking-water, health and sanitation certificates and water testing report. Appendix IX calls for self-attested copies of listed documents; uploading a file never substitutes for a valid underlying certificate.

5. Organize the Mandatory Public Disclosure page

Use the revised Appendix IX categories as your navigation structure. Check the right file is linked, it is readable, and the website version matches the approved document.

03

Part 2: Are academic and governance disclosures current?

The revised format calls for fee structure, academic calendar, school management committee, parent-teacher association and applicable three-year board examination results.

6. Publish the school fee structure

Check the current approved fee structure is accurately published. A clear parent-facing explanation is useful, but the prescribed disclosure is the starting point.

7. Update the annual academic calendar

Publish the current academic calendar and check it matches school records. An online calendar with updates is an optional communication improvement.

8. Verify board examination results

For Class X and XII where applicable, check the last three years’ results in the prescribed format, including registered students, students passed, pass percentage and remarks.

9. Check SMC and PTA member lists

Verify that published School Management Committee and Parent Teachers Association lists are accurate and current, with applicable school records available for reference.

04

Part 3: Are teaching staff and infrastructure details accurate?

Appendix IX explicitly asks for teaching staff information, teacher-section ratio, special educator and counsellor details, and specific infrastructure figures and facilities.

10. Update prescribed teaching staff details

Review principal, vice-principal and headmaster or headmistress information, total teachers, and linked PGT, TGT and PRT names, designations and qualifications. The revised format makes staff detail particularly important.

11. Review special educator and counselling information

Check the details of special educators and counsellor/wellness teachers. Separately verify applicable staffing and qualification requirements under the Affiliation Bye-Laws and current instructions.

12. Check teacher-section ratio

Compare the published teacher-section ratio with the school’s current sections and staff records. Resolve inconsistencies before publishing.

13. Verify school infrastructure figures

Review campus area, number and size of classrooms, laboratories including computer labs, library size, internet availability, and counts of girls’, boys’ and CWSN toilets. Use the units and fields in the revised format.

14. Check the school inspection video link

The revised Appendix IX includes a field for a YouTube video of school inspection covering infrastructure. Verify the current requirement applicable to your school and test the published link.

05

Part 4: How can schools stay administratively ready throughout the year?

The final three checks cover ongoing consistency, circular monitoring and record management. They are practical administrative controls; not every suggested software workflow is a separately prescribed CBSE obligation.

15. Reconcile SARAS, OASIS and internal records

Where applicable, compare school submissions with approved internal records and public disclosures. Investigate differences rather than assuming one system is correct.

16. Track circulars, renewals and deadlines

Assign owners for checking official SARAS circulars, relevant CBSE notices and certificate expiry dates. A shared reminder register can help; it does not replace monitoring official instructions.

17. Maintain accurate and access-controlled records

Maintain relevant student, staff, attendance, examination and financial records. CBSE’s Affiliation Bye-Laws address record-keeping. Role-based digital storage and consistent backups can make retrieval easier, but purchasing an ERP is not a universal affiliation requirement.

  • Assign an owner and a reviewer for each disclosure category.
  • Record the document source, applicable validity date and website URL.
  • Review website links and supporting records together, not separately.
  • Escalate discrepancies to the principal or authorized school management.
  • Check new CBSE circulars before treating this checklist as complete.
06

How can technology support school compliance readiness?

A school website, document register and well-managed administrative systems can reduce repeated work and make approved information easier to locate. Technology supports compliance processes; it cannot certify a school as compliant.

School taskPossible digital support
Mandatory Public DisclosureOrganized website document library
Certificate renewalsDocument register and reminders
Fee and academic recordsControlled school administration workflows
Staff and attendance recordsAccess-controlled staff and attendance systems
Parent communicationTargeted notices and parent app

A school may need a website update, a document register, better operating procedures or a broader school management system. The right investment depends on the actual gaps, not on an ERP vendor’s checklist.

07

How can ScholarAIMS help with digital readiness?

ScholarAIMS can be evaluated for school administration workflows, while website disclosure review and website development needs should be discussed separately. Neither a ScholarAIMS demo nor a website review is a CBSE compliance certification.

ScholarAIMS publishes information about its school administration features, including student records, attendance, fees, examinations and parent communication. If you are assessing those workflows, request a product demonstration. If you need help reviewing or reorganizing a school website’s public disclosures, describe that requirement when contacting the team; service scope and availability must be confirmed before work begins.

For a broader technology decision, read our guide to future-ready school ERP. ScholarAIMS is an independent school technology provider, not CBSE or a CBSE-appointed compliance certification agency.

08

Which official CBSE sources should schools consult?

Use current official CBSE documents as the authority for regulatory obligations, not a vendor blog or an automatically generated checklist.

CBSE Circular 01/2026 and revised Appendix IX · CBSE Affiliation Bye-Laws · SARAS circulars · CBSE affiliated school directory.

These 17 checks are a practical review aid, not an exhaustive legal checklist. Requirements can vary with affiliation category, school level, state or UT obligations and subsequent circulars.

PRACTICAL REVIEW PROCESS

Make this a repeatable school routine

1

Assign an owner. Give each disclosure category a named record owner and reviewer.

2

Verify the source. Compare published information with valid underlying certificates and approved school records.

3

Test the website. Check each document link, mobile access, readability and accuracy.

4

Track updates. Monitor new circulars, expiry dates, staffing changes and corrections.
