SCHOOL LEADERSHIP PLAYBOOK · 2026
CBSE affiliation readiness. Without the paperwork chaos.
One practical visual guide for principals, affiliation coordinators and school management teams: what to organise, how to track missing evidence and what to verify before inspection.
Important: This is an internal preparation guide, not an official CBSE form. Always verify the current Affiliation Bye-Laws, circulars, live SARAS application and applicable State/UT rules.
THE BIG PICTURE
Affiliation readiness is an evidence system, not a stack of certificates.
For a useful internal audit, record the document owner, issue and expiry dates, physical file location and digital copy. Cross-check names, addresses, land details and school identifiers across documents. A certificate can be valid yet still cause delays if it is filed under the wrong school name or cannot be located.

COMPLETE SOURCE-BASED WORKING CHECKLIST
181 individual checks, organised into 13 audit sections
The interactive checklist contains 181 internal review prompts. Tick an item when you have reviewed its evidence, or mark it not applicable. Your progress is saved in this browser. No completion percentage is an official CBSE compliance score.
Source-based categories: CBSE tags identify an underlying requirement in published rules; conditional checks depend on the school, grade or facility. Internal checks are suggested preparation practices. Your selections are self-reported, not CBSE certification.

PRACTICAL TOOL
Track validity before it becomes a problem
Safety certificates and other time-bound approvals need a responsible owner and renewal reminder. Use a simple tracker even if your school already has a document-management system.
| Document | Verify | Owner | Action |
|---|---|---|---|
| Fire safety certificate | Issuer + validity | Admin / safety lead | Record renewal date |
| Building safety certificate | Competent authority | Management | Check applicability |
| Water quality report | Authorised lab + date | Facilities | Schedule retest |
| Recognition / NOC | Category + school details | Affiliation coordinator | Match portal data |
Example ownership assignments only. Set your own owners and confirm which certificates are required in your jurisdiction.
DOCUMENT ORGANISATION
A digital filing system that a new coordinator can understand
A practical filing approach uses numbered folders from 00 to 12. Group them clearly, keep a master index and restrict access to confidential staff and student records.
All 13 recommended folders (00–12)
Keep confidential student and staff records access-controlled. This folder structure is an internal organisational suggestion, not a prescribed CBSE filing taxonomy.
INSPECTION DAY
From preparation to follow-up: a five-step workflow
Nominate a coordinator. Assign an owner for each evidence area and maintain one master index.
Reconcile records. Match school name, management details, land particulars, class range and enrolment across files.
Walk the campus. Review entrance, classrooms, laboratories, library, toilets, playground and safety installations.
Test real workflows. Staff should be able to explain attendance, safeguarding, assessment and emergency processes—not just display documents.
Close and evidence gaps. Assign due dates, retain submitted copies and document any post-inspection responses.
READY-TO-USE TEMPLATE
Affiliation gap tracker
Use one row for each missing, expired, mismatched or unverified item. The sample tracker has eight blank rows; add more as needed. Status and evidence should be recorded only after verification.
| Gap / missing document | Owner | Due date | Status / evidence |
|---|---|---|---|
| 1. __________________ | __________ | __________ | __________________ |
| 2. __________________ | __________ | __________ | __________________ |
| 3. __________________ | __________ | __________ | __________________ |
| 4. __________________ | __________ | __________ | __________________ |
| 5. __________________ | __________ | __________ | __________________ |
| 6. __________________ | __________ | __________ | __________________ |
| 7. __________________ | __________ | __________ | __________________ |
| 8. __________________ | __________ | __________ | __________________ |
Document index fields
For each record, capture file number, document name, issuing authority, issue date, validity/expiry, responsible owner and file location. Confirm names, school address, land details and class range match the SARAS application and supporting documents.
DON’T MISS
Mandatory public disclosure is more than uploading PDFs
Review the latest prescribed format, make sure the school website works, check document legibility and certificate dates, and avoid publishing confidential student or staff information. Assign an owner for official portal accounts, access controls, backups and change logs.

QUICK ANSWERS
Frequently asked questions
Is this an official CBSE affiliation checklist?
No. This is an internal preparation guide based on a school-team working document. Confirm all current requirements in CBSE Affiliation Bye-Laws, circulars, the live SARAS portal and applicable State/UT rules.
Are the Part A, B and C headings official CBSE portal categories?
Not necessarily. Those labels organise the source working document; do not assume the live portal uses the same sections.
What is the most useful way to organise evidence?
Use a master index listing each document, owner, issuing authority, validity, location and gap status. Keep originals or certified copies where required and controlled digital copies.
Does a complete internal checklist guarantee affiliation?
No. Requirements depend on school category, application type, state rules and current CBSE instructions. Only the competent authorities determine compliance and affiliation.
Source and verification
Independently verify applicability against the official CBSE Affiliation Bye-Laws, SARAS portal, 2025 school safety amendment and 2026 public disclosure circular. Local and State/UT requirements may also apply.
